All University AI platforms are information systems governed by the same policies as any other campus technology, including the Information Technology Resources Acceptable Use Policy and the Information Security Framework. Interactions are logged, and stored data is accessible to authorized IT staff for support, security, and maintenance. Clementine assistants add one difference worth knowing: because each assistant is built and maintained by a University team, your interactions are also accessible to that assistant's trustee(s), who periodically review them to correct wrong answers and improve the service - never to sell your data or train underlying language models.
What happens to your data in SU AI tools
Overview
Like every other Syracuse University information system, your interactions with University AI platforms are logged as part of standard system operations. Your data is not sold. The AI tools licensed through the ITS business office - such as Claude Enterprise, Microsoft Copilot, Google Gemini, and ChatGPT Teams - are contracted with provisions that prohibit using your data to train their models. Those contractual protections apply when you are logged in with your Syracuse University NetID, which is why logging in matters: it activates the University's terms. If you use a personal subscription or a free tier instead, the University has no input on that agreement.
Steps
Always access approved AI tools while logged in with your NetID / University credentials - this activates the University's contractual protections.
Use only University-approved tools for University work; do not put confidential or business data into unapproved or public AI tools.
Remember that on Clementine assistants, your interactions are also accessible to that assistant's trustee(s), who review them to improve response quality.
