What data is safe to put into SU's AI tools?

Overview

Use the University's approved, contracted AI services for SU work. Syracuse has enterprise agreements with the major providers through their managed interfaces - Claude Enterprise, ChatGPT Teams, Gemini for Education, and Copilot Work/Web. Self-hosted models and other endpoints (for example Microsoft Foundry or Google Vertex) are not covered the same way and need review before use with SU data. For questions about what data is appropriate, or about installing an AI app on a University-owned device, contact aihelp@syr.edu - ITS may route policy questions to the Enterprise Data and AI team.

Steps

  1. For SU work, use an approved managed service: Claude Enterprise, ChatGPT Teams, Gemini for Education, or Copilot Work/Web.

  2. Planning to use a self-hosted model or a different endpoint (Foundry, Vertex, etc.)? Have it reviewed first - contact aihelp@syr.edu.

  3. Installing an AI app on a University-owned device? Check with ITS about device/security policy.

  4. Unsure whether specific data is appropriate for a tool? Ask ITS; policy questions may be routed to management.

Data privacy is an evolving area. The consistent guidance: prefer the approved, contracted AI services for University work, and get anything else reviewed before use.
